Setting Up Sequential Outbound Dialer Template

1. In this tutorial you will learn how to setup a Sequential Outbound Dialer. A sequential outbound dialer, which is sometimes called a ‘Round Robin Dialer,’ allows an AvidTrak User to set up a tracking number such that it may forward, sequentially, the inbound call to multiple call receiving parties. In such a scheme of call forwarding, the moment a call gets answered by a call receiving party, outbound dialing to subsequent call receiving parties is stopped. To setup this feature in your account, login to your AvidTrak account using your Administrator’s login credentials.

2. After you have successfully logged into your account, navigate to the left navigation area, and find and click the Numbers link that appears under the Manage menu section.

3. Find the telephone number that is to be set up with the sequential dialer, and then click on the blue gear icon that is adjacent to the telephone number to open that number’s settings.

4. When the number settings menu is displayed, click the “Advanced Routing” tab.

5. From the field labeled ‘Select an advanced routing option’ select the “Sequential Routing” option.

6. Next navigate to the ‘Select Template’ field.

7. Click the “Add/Modify” button to create a new template of sequential call routing if a template does not already exist.

8. Next, in the template name field, enter a template name. Pro Tip: Please do not use any special characters in the template name field and keep the template name to less than fifty characters in length.

9. After entering a template name, you have the option of entering a message to the calling party if none of the call recipients answer the call. You may either type in a message that will be rendered by converting the entered text to audio, or you may choose to upload a prerecorded message. To upload the prerecorded audio file, be sure that it is in an MP3 format. Click the “choose file” button and locate the audio MP3 file on your computer. Pro Tip: Your audio message should be short and succinct. Example: We are sorry that no one is available to answer your call now. Please hang up and try again.

10. Next, in the Receiving Number field, enter a US or Canadian telephone number of the first call receiving party. Enter all ten digits of the phone number of the call receiving party.

11. In the field labeled “Rings” select the ring time duration before the call is forwarded to the second call receiving party. Pro Tip: We recommend a duration between 12 to 18 seconds which is equivalent to about three to four rings.

12. In the “Enter label” field enter the Nickname of the call receiving party. If you wish to enter more call receiving numbers, then click the plus symbol and repeat steps 10 , 11 and 12. Pro Tip: You may add up to five call receiving parties.

13. Click the “Save Settings” button to save your settings.

14. Click the “OK” button to confirm your selection.

15. To close and exit your setup, click the X icon that appears on the upper right corner of the screen.

16. Next, to apply the template that you have setup, click the Select Template field and allow the drop downoptions to appear.

17. Select the template that you wish to apply to the number.

18. After applying the template to the number, click the “Save Settings” button to save your work.

19. Click the “OK” button to confirm your selection.

20. Click the “OK” button again to acknowledge the change in the setting.

21. Once you have successfully setup and saved the Sequential Outbound Dialer on this platform, you will see your setting appear below the telephone to which it has been applied. You are now ready to test the work that you have completed. Call the telephone number that has been enabled with the sequential dialing feature and validate that the sequential call forwarding performs as per your settings.
